Dental Receptionist Job Description

As an ambassador for The Honour Health brand you will work with the dental team to ensure the smooth operation of the dental practice and the delivery of a high quality of care to our patients in line with our mission statement.

You will be required to:

  • Meet and greet patients in a friendly and helpful way – doing your best to provide an excellent level of customer service
  • Keep the office, reception area and waiting room clean and tidy
  • Understand the range of treatments the practice provides and be able to respond to patient enquiries
  • Attend to telephone calls and emails promptly in a professional and courteous manner
  • Manage the appointment books for dental surgeons using the EXACT software in line with practice policies
  • Develop a good understanding of EXACT software and how it can be used to manage the appointment book, communicate with patients and the team and assist with meeting the KPIs of the business
  • Develop a good understanding of Planday and how to use it to log-in, communicate with the team and access documents
  • Ensure good internal staff communications by appropriate use of: Planday, task bar and departure bar in EXACT, meetings and memos, emails, instant message
  • Ensure practice policies and protocols are followed at all times
  • Deal with the post and understand how to use the franking machine
  • Liaise with dental laboratories, supply companies and other organisations as required
  • Deal with patient complaints in line with the Practice Complaints policy
  • Understand the Practice confidentiality policy and maintain patient confidentiality at all times
  • Send out patient recalls in line with the Practice Policy
  • Follow practice protocols to reduce FTAS
  • Assist with marketing initiatives and promotions
  • Meet and greet external suppliers and complete the Visitors book
  • Possess a sound knowledge of relevant dental ethics (professional conduct, confidentiality, etc
  •  Undergo training as may be required to develop your skills and abilities
  • Attend refresher and update training for medical emergencies and CPR

Financial administrative responsibilities:

  • Understand the NHS and Private fees and be able to explain the options to the patient
  • Complete and return relevant forms for NHS and private schemes within a specified timescale
  • Understand the finance options available to patients and how to process patient applications
  • Process payments from patients in line with the Practice Payment Policy to avoid the Practice incurring debts
  • Undertake the collection of debts in line with practice protocols
  • Undertake banking procedures in line with the Practice protocol immediately notifying the Finance Manager of any discrepancies
  • Deal with deliveries, checking delivery notes and invoices. Reporting any problems to the Finance Manager
  • Organise and manage the petty cash, stationary stock supplies and materials and equipment for the cleaners

At the end of the day ensure that:

  • The computer back up procedure is followed
  • The phone out of hour’s message is turned on
  • The lights and heating are turned off throughout the building each night
  • Patient records are completed correctly before filing and storing them in an efficient, tidy and secure manner
  • Ensure the security of the building (burglary and fire) and activate the Alarm
  • Lock up

You will work at other practice locations from time to time as required.

You will undertake any other duties that are within your capability for which you have received training and are necessary for the operation of the practice.
