About the opportunity

The focus of this role will be to support the conference producer & event director in the implementation of the conference/seminar programme of events and in all event related tasks. You will work at all times within the company strategy – increasing richness of our relationships with our customers – to maximise profitability of each event.

You’ll be contributing to the successful delivery of the conferences by project and managing specific areas of the events, from inception to conclusion, ensuring the smooth running of all logistics and adherence to defined budgets.

Role Responsibility

Budgets and Forecasts

  • To have input into the accurate and timely construction of budgets and quarter forecasts for each event.
  • Once a cost budget is agreed senior event planner will ensure all costs and expenditure is in line with the project cost budget.
  • To ensure all costs and revenues and P&L data is accurately phased and reported to the Event director.

Planning

  • Work on a range of conferences/seminars and membership clubs’ events across the year
  • Manage all logistical aspects of the event: venue, conference, and speaker requirements
  • Support the conference producer with speaker communication & liaison.
  • Liaise with agencies to book bedrooms for all staff & hostesses
  • Establish deadlines and aid with speaker preparations (travel, accommodation)
  • Ensure Health & Safety guidelines are adhered to – prior to event, approval of venue, daily checks on site, risk assessment of venue (training will be given)
  • Provide information and liaise with Exhibitors/Sponsors/Speakers pre-event:
  • Specific speaker AV requirements (rehearsals, technical support etc.)
  • Supplier liaison to ensure all event requirements are serviced at a minimum cost
  • Brief venue/hotel of required configuration and specific conference requirements, pay attention to cut off dates for rooms, cancellation policies and payment of deposits
  • On site responsibility.
  • Main point of contact for delegates, speakers, and hotel
  • Calculate forecasts & monitor accounts when paying invoices
  • Onsite management (including the management off staff and contractors onsite)

Marketing Promotion

  • Supports manager/or agency in developing delegate marketing plans with critical paths for each event. Implements activity with the support of others
  • Supports in attracting quality attendees.
  • Set up of the post-event presentation website ensuring live within a week of the event ending, converting all presentations into PDF, gaining authority from all speakers, signing off final agenda with producer
  • Support Conference producer in promoting the content of event in magazine, DM and other methods reflecting the brand.
  • Formulate and deliver on-line strategy for event registrations.

The Ideal Candidate

  • Proven experience as an Events Planner
  • Impressive portfolio of previously managed events/conferences.
  • Attention to detail to ensure that every aspect of an event is perfect
  • Excellent interpersonal skills, as the job constantly involves working with people
  • Strong negotiation skills to effectively deal with suppliers and contractors
  • Excellent time management and communication skills
  • Ability to manage multiple projects independently
  • Strong problem-solving skills and the ability to think on their feet when unexpected events occur
  • Audience engagement skills – pre & post event
  • Demonstrates and communicates a deep understanding of event business and drives knowledge in this field.
  • Makes sound decisions based on fact rather than emotion.  Analyses problems skilfully and uses logic to reach solutions.
  • Maintains high standards despite pressing deadlines and does work right first time; corrects own errors and regularly produces accurate, thorough professional work.
  • Sound financial planning
  • Operational Planning – to utilise both internal and external specialist service providers to assist where required in order delivering the operational plan to schedule.
